This Privacy Policy explains how OPEN CLUB LTD, a private limited company registered in England and Wales (company number 17107339) (“Open Club”, “we”, “us”), collects, uses, and protects your information when you use the Open Club mobile application and related services (the “App”). Open Club is a social golf app that helps players find golf rounds, discover clubs and players nearby, connect with other golfers, and message and review playing partners.
OPEN CLUB LTD is the “data controller” responsible for your personal data under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
By creating an account or using the App, you agree to this Policy. If you do not agree, please do not use the App.
| Category | Examples |
|---|---|
| Account | Email address, password (stored only as a salted hash, never in plain text). If you sign in with Google or Apple, we receive a provider account identifier and your email from that provider. |
| Profile | Display name, username, profile photo, bio, golf handicap index, home club, club memberships, and playing preferences (preferred days/times, maximum travel distance). |
| Social & content | Rounds you create or join, connection requests, reviews and ratings you leave for other players, chat messages, and referral codes. |
| Category | Examples |
|---|---|
| Location | With your permission, your device’s GPS coordinates are used to show nearby clubs, rounds, and players. Approximate coordinates you set or share may be stored with your profile so distance-based features work. You can disable location access at any time in your device settings. |
| Device & usage | Push notification token, app version, device/OS information, and basic technical logs (e.g. request metadata and error logs) used to operate and secure the service. |
We do not sell your personal information. We share it only as follows:
We keep your information for as long as your account is active or as needed to provide the App. You can delete your account at any time from within the App (Profile → Settings → Delete Account).
When you delete your account, your personal information (name, photo, bio, location, email, push token, preferences, and social/login identifiers) is erased or anonymized. Limited records may be retained in anonymized form so that historical references in other users’ data (e.g. past rounds, messages, and reviews) remain consistent, and as required for legal, security, or fraud-prevention purposes.
We use industry-standard measures to protect your data, including password hashing, encrypted transport (HTTPS/TLS), token-based authentication, and access controls. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
Under the UK GDPR you have the right to access, rectify, erase, or port your personal data, to restrict or object to certain processing, and to withdraw consent (for example, by disabling location access). You can exercise many of these directly in the App (editing your profile, toggling discoverability, deleting your account) or by contacting us using the details below. We will respond within one month as required by law.
If you are unhappy with how we handle your data, you have the right to lodge a complaint with the UK Information Commissioner’s Office (ICO) at ico.org.uk or by calling 0303 123 1113. We would, however, appreciate the chance to address your concerns first.
The App is not intended for children under 13 (or the minimum age of digital consent in your jurisdiction). We do not knowingly collect personal information from children. If you believe a child has provided us information, contact us and we will delete it.
Your information may be processed and stored outside the United Kingdom, including where our service providers operate. Where personal data is transferred outside the UK, we rely on appropriate safeguards such as UK adequacy regulations or the International Data Transfer Agreement (IDTA) / Standard Contractual Clauses with the UK Addendum, so your data receives a level of protection consistent with UK law and this Policy.
This Policy and any dispute arising from it are governed by the laws of England and Wales, and the courts of England and Wales have exclusive jurisdiction, without prejudice to any mandatory consumer-protection or data-protection rights you have under the law of your country of residence.
We may update this Policy from time to time. Material changes will be notified in the App or by other reasonable means. The “Last updated” date above reflects the latest revision.
